PROCEDURES, CRITERIA, AND CONDITIONS FOR
CONFERENCE FEE REDUCTIONS AND TRAVEL
/ ACCOMMODATION GRANTS
The
Conference Planning Committee will begin review and approval of conference fee
reductions and travel grant requests upon receipt, beginning 15 July 2008, so
early submission is encouraged. The deadline for travel grant applications is
15 September 2008 although later grant applications may be approved
at the Committee’s discretion if funds remain available. Applications for fee
reductions should be submitted, if possible, at least 30 days before a decision
is needed by the applicant.
In
general, the following criteria and conditions apply:
For
reduction of registration fee:
1)
As a general rule, the conference registration fee (which includes the cost of
most meals) will not be waived entirely. This rule will be applied most clearly
for people who have no other significant expenses (such as local, or nearby, delegates
and people who receive a full travel/accommodation grant). The Committee has the
option to waive the entire fee in extraordinary cases (for example, someone who
used all possible support to get to

The extent to which the fees will be waived will depend on the applicant’s access
to institutional support and his or her personal capacity to pay the fee. Preference
will be given to persons who have limited personal capacity to pay and have also
obtained some outside institutional support for their expenses of attending the
conference.
3)
Preference will be given also to persons who have shown a commitment to GAJE activities,
or who have engaged in other activities consistent with the goals of GAJE.
4)
Conference fees are not reduced or waived simply because a person is a speaker
or has another conference role.
For
travel/accommodation grants:
1)
Funds may only be used for actual travel expenses (meaning: airfare, train fare,
taxi, etc,) and actual cost of accommodations. Grantees are generally expected
to stay in dormitory style or other low-cost accommodations.
2)
Grants will be provided by reimbursement (rather than paid up front).
3)
Grantees are expected to attend the entire conference.
4) Grants will generally be given only to persons playing a specific role at the conference, such as a session organizer, program speaker, or workshop leader. Therefore, unless you already have a confirmed conference role, you should submit a proposal to participate before or at the same time as your grant application.
